Information to the candidates for employment on the processing of personal data by the Company

1. General Information

Allianz European Reliance Single Member Insurance S.A. (hereinafter referred to as "the Company") is a comprehensive insurance company that operates in all modern insurance sectors, providing comprehensive insurance coverage to both individuals and businesses. It is based in Greece and its headquarters are located in Chalandri of Athens, Avenue. Kifissia 274, telephone number 210 6829601, email info@europisti.gr. the Company has personnel (individuals) with a dependent employment relationship or a project contract, both at its headquarters and in its retail offices, in order to perform, develop and continuously improve the services offered to its customers and shareholders. the Company, with regard to the processing of personal data of its staff, acts primarily as a Data Controller or Joint Data Controller, in accordance with General Regulation (EU) 2016/679.

2. Purpose of the processing of Personal Data/Special Category of Personal Data 

The personal data mentioned in your CV and the data you are requested to fill in via the Company website (Career - Job Positions | the Company (europaikipisti.gr)) are necessary in order to assess your suitability for filling positions in our Company. These data will be processed by the Human Resources Division only for this purpose. For your assessment to be correct, the information you fill in must be complete, accurate and true.

3. Processing Legal Basis 

The processing carried out by the Company on the personal data that are provided to it for the above purpose is based on:

a. in contract performance (for the pre-contractual stage and in the case of the conclusion of a work/project contract)
b. your consent (if applicable)
c. to serve the legitimate interests of both parties (e.g. establishment of legal claims, evaluation for the purpose of recruiting suitable staff, etc.) 
d. to ensure that the Company complies with the legal obligations imposed by the applicable national, european and international legal and regulatory framework.

4. Type of processing of Personal Data/Special Category of Personal Data 

Upon receipt of your CV and other information requested for your recruitment at the Company, the latter will, for the reasons mentioned above, carry out any operation or series of operations of processing of personal data (with or without the use of automated tools), such as collection, recording, organisation, correction, storage, adaptation, alteration, retrieval, search, use, deletion, or destruction.

The Company does not use automated tools to make a decision at the stage of hiring a new employee. The applications of potential employees are always evaluated by a responsible employee of the Human Resources Division of the Company.

5. Retention period of Personal Data /Special Category of Personal Data

If your application for employment is accepted, the Company will retain and process your data lawfully for the duration of your employment relationship with the Company. If, for any reason, the employment relationship is terminated, the Company will retain your data (in hardcopy or digital form) for as long as required by applicable labour, insurance, tax or other national, European or international legislation or until the statute of limitations for any claims by either party relating to the employment contract / project has expired.

If the recruitment application you have submitted through the company's website is not accepted, the company will retain the submitted data and your CV for a period of two (2) years from the date of submission, provided that you have expressly consented to this. After the two (2) years, your data and your CV will be automatically deleted from the Company's databases.

6. The rights of a data subject

According to the General Regulation (EU) 2016/679, you have the following rights
A) The right of access, i.e. the right to receive confirmation from the company as to whether or not your data is being processed and if so, for what purpose, for how long and who are the recipients.
B) The right to correct any deficiencies or inaccuracies in your data.
C) The right to deletion ("right to be forgotten") of your data from the Company's files, provided that the processing is no longer necessary. 
D) The right to restrict the processing, in case the accuracy of the data is questioned, etc.
E) The right of portability, i.e. the right to receive from the Company the data you have submitted to it in a structured and commonly used format, in cases where this is technically feasible, in order to transmit them to another controller.
F) You have the possibility, at any time, to object to the processing of Personal Data / Special Categories of Personal Data. However, this may result in the deletion of the Personal Data from our database, unless there are compelling and legitimate reasons for such processing or it is necessary for the establishment, exercise or support of legal claims.
The above rights can be exercised at no cost to you by sending a request to the Human Resources Division at hr@europisti.gr. In the event that additional actions and copies are required from you, the Company may charge a reasonable fee for administrative costs

If you exercise any of the above rights, the Company will take all possible measures to respond to your request no later than thirty (30) days after receiving it, informing you either of its satisfaction or of the objective reasons that may prevent its satisfaction.

7. Transfer of data to third parties

The Personal Data that you submit as candidates are kept only in digital form by the Human Resources Division of the Company and is not transmitted to third parties outside the Company, except in cases where it is required to be transmitted to public, judicial and supervisory authorities and in compliance with obligations that are imposed by the applicable national, european, and international legislative and regulatory framework. 

Any third parties (legal or individual persons) who may process your personal data exclusively for the purpose of providing services to the Company, act as processors or as data controllers/joint controllers and commit themselves in writing to respect confidentiality, data protection and information security.

8. Data security at the Company

The security of your personal data is extremely important to us and for this reason we take and implement all appropriate organizational and technical measures to ensure that the data we collect is adequately protected and processed in accordance with the requirements of applicable law.

9. How to submit a complaint / protest

In conclusion, you always maintain the right to take legal action.
